TyreDating (POPGOM) offers a complete, internet based, simple and efficient service for purchasing tires and having them fitted in complete security.
Challenges
Prior to implementing the Novatus Contracts solution, TyreDating managed physical and electronic copies of contracts centrally, with data stored in spreadsheets. While this approach offered some contract portfolio transparency, it lacked the automated controls and functionality needed to effectively manage large volumes of agreements. This resulted in contracts expiring and auto-renewing without the appropriate oversight and attention, having far-reaching business impacts, which included under-leveraged buying, poor contracting practices, lost savings and missed cost avoidance opportunities.
Solutions
In response to the issues listed above, this Novatus client identified four key functionality requirements for a contract management solution:
1. The ability to index and store scanned copies of contract documents.
2. Scanned contract documents had to be linked with a contract record, containing key fields such as renewal dates.
3. The solution had to contain automated controls and features, such as automated alerts that would provide advanced email notifications of contract expirations and renewals.
4. A solution that could be deployed in a software-as-a-service (SaaS) model.
By selecting the Novatus Contracts solution, deployed in a SaaS model, the client was able to quickly implement an effective solution and reduce contract-related risks.
With the Novatus solution, scanned contract copies are uploaded to the contract record, allowing for quick and easy location of contract documents and data via search and report functions. Key features, such as automated contract alerts, provide advanced notification of contract auto-renewals and expirations. By doing so, Sourcing and Procurement professionals are able to appropriately plan and engage in buying activities proactively, ensuring leverage is maximized and activities are aligned to priorities.
Results
Procurement and Sourcing associates receive advance notification of contract notice and expiry dates through email alerts, allowing them to prepare and plan for upcoming sourcing and procurement activity.
